Excel Attendance Sheet vs Attendance App: Which One Do You Need?
Almost every Indian business starts attendance the same way: a muster register at the gate, or an Excel sheet the accountant updates every evening. It is cheap, everyone understands it, and for a while it works perfectly well. The question is not whether Excel is "bad". It is whether your business has grown past the point where Excel is the cheapest option.
Here is an honest comparison, including when you should not bother with an app.
When an Excel sheet or register is fine
If you run one office or one shop, have around five people, and you see all of them walk in every day, Excel is fine. You know who came late. You know who left early. Disputes are rare because everyone is in front of you. An attendance app would add a step without solving a real problem.
Excel also works when salaries are fixed and nobody's pay changes based on half days or overtime. If the number at month end is always "full month", the sheet is just a formality.
Where Excel and the muster register start to break
More than one site
The moment you have a warehouse in one area, a client hub in another and a few people in the field, you cannot see everyone. Now the sheet depends on supervisors calling in or sending WhatsApp messages, and the accountant types whatever they are told. The data is only as honest as the weakest supervisor.
Late entries and edits
A register filled in at 4 pm, or an Excel cell changed on the 29th, leaves no trail. Nobody can say who changed "A" to "P" or when. For the owner, that is the real weakness: you cannot trust the sheet even when it is correct.
Half day maths
Say your rule is six hours for a full day, less than that is a half day, and below a minimum is absent. In Excel, someone has to note in-time and out-time for every person, every day, then apply the rule by hand or with formulas that break whenever a row is added. Thirty people over 26 working days is a lot of cells to get right. (If you are still deciding your rules, see half day vs full day attendance rules.)
Weekly offs, holidays and leave
Different staff may have different weekly offs. Festivals move every year. Leave needs approval. In a sheet this becomes colour codes and comments that only one person understands, and that person goes on leave in the last week of the month.
Proof during a dispute
"Sir, I came that day." With a register, it is your word against theirs. With an app that saves a selfie, time and GPS location for every check-in, you can open the exact record. This protects honest employees as much as it protects you. Our post on how to stop fake attendance with selfie + GPS explains how proxy marking is handled.
Excel vs attendance app: side by side
| Point | Excel / register | Attendance app |
|---|---|---|
| Cost | Free, but staff time every day | Monthly fee per employee |
| Proof of presence | Signature or typed entry | Live selfie, time and GPS location |
| Multiple sites | Depends on phone calls and WhatsApp | Each site geofenced on a map |
| Half day / full day | Manual calculation | Automatic from hours worked |
| Edits after the fact | No trail | Fixes go through a request and approval |
| Month-end report | Already in Excel | One-click Excel / CSV download |
The cost question, in rupees
Excel looks free, but someone pays for it with time. Count how long your accountant or supervisor spends each day collecting attendance, chasing missing entries, and then a day or two at month end fixing the sheet and answering "why was my salary cut?" Put a rupee value on those hours.
Now compare with a real app price. HaaziriPro's Starter plan is ₹69 per employee per month for up to 25 employees. For a team of 10, that is ₹690 a month, plus GST. The Business plan is ₹59 per employee per month (up to 100 staff) and Enterprise is ₹49 per employee per month for larger teams. Every plan has all features, and payment is by UPI.
If even one wrongly paid day per month is avoided for one employee, or a few hours of admin work are saved, the app can easily pay for itself. If neither is true for you, stay with Excel. That is a perfectly sensible answer.
"But my accountant needs Excel"
This is the most common worry, and it is a non-issue. Moving to an app does not mean giving up Excel. At month end, HaaziriPro gives you a one-click Excel (XLSX) or CSV file with an employee-wise summary of Present, Half Day, Absent, Leave and WFH, a day-wise grid, and a site-wise report. Your accountant gets the same kind of file they always used, just without the daily typing.
In other words, the app replaces the data entry, not the spreadsheet. More on this in our attendance app for small business page.
A simple way to decide
- Stay with Excel if you have one location, a handful of people you see every day, and fixed salaries.
- Move to an app if you have more than one site, field staff, drivers, half day rules, or regular disputes about who came when. For mobile teams, see our field staff tracking app page.
- Not sure? Run both for two weeks with one team and compare the month-end numbers.
Try it on one team first
You do not need to move the whole company in one go. Start with one site, compare the app's Excel export with your own sheet, and decide based on what you see. HaaziriPro has a 14-day free trial with no card needed: start your free trial, or look around the live demo admin panel (password Demo@2026) and download a sample monthly report.
