How to Stop Fake Attendance with a Live Selfie and GPS Geofence
Every owner who manages staff across a warehouse, a transport hub or a few shop counters knows the feeling. The muster register says everyone was present, the salary goes out for 26 days, and later you find out one loader was at his village for half the week while a friend wrote his name every morning. Fake attendance is rarely dramatic. It is small, quiet and very common, and it costs real money every month.
This guide walks through the cheats that actually happen in Indian workplaces, why a live selfie plus GPS geofence closes most of them, and how to bring in a new system without your staff feeling insulted.
The five common ways attendance gets faked
1. A friend marks it (proxy or buddy punching)
The oldest trick. One person signs the register, punches a card or tells the supervisor "haan, Ramesh aa gaya hai, bathroom gaya hai." With paper and even with a shared tablet at the gate, there is no proof of who was actually standing there.
2. The register is filled in later
Many sites keep the haaziri register in a drawer. Entries get written at lunch, at the end of the day or, honestly, at the end of the month. Late arrivals become on-time arrivals, and nobody can prove otherwise.
3. "Sir, I'm at the site" on WhatsApp
Field staff send a WhatsApp location pin or a quick message to the supervisor. But a pinned location can be sent from anywhere, a "live location" can be stopped after two minutes, and a photo of a gate can be an old photo.
4. Fake GPS apps
Mock-location apps are free and easy to find. They let a phone report that it is at your warehouse while it is actually at home. Basic location-based attendance tools that simply read the phone's GPS can be fooled by this.
5. Old photo or someone else's photo
If an app lets people upload a photo from the gallery, staff quickly learn to keep one good "at work" photo and reuse it every morning.
Why a live selfie + geofence works
A good selfie and GPS attendance system checks two simple things at the moment of check-in: who is checking in, and where they are. Here is how that maps to each cheat, using HaaziriPro's selfie attendance as the example.
- Live front-camera selfie only. The photo must come from the camera at that moment. There is no gallery upload, so the old-photo trick does not work, and a friend cannot check in for you without his own face showing up in your record.
- Time and location saved automatically. Every check-in and check-out stores the photo, the exact time and the GPS location. Nothing is "filled in later" because nobody fills anything in.
- Geofence around each site. The admin pins each site by pasting a Google Maps link, Plus Code or lat/long and sets a radius, for example 200 metres. Check-in only works inside that circle. From outside, the app shows how far away the person is and blocks the check-in. A WhatsApp pin from home simply cannot become a check-in.
- Fake GPS flag. If the recorded locations jump in a way no human could travel, the admin sees "Fake GPS suspected (impossible speed)".
- Remote check-out flag. Checking in at the site and then checking out from home is another classic. Check-out needs a fresh, accurate GPS fix, and if it happens outside the site the admin sees "Remote check-out (outside site)".
- Gaps during the shift. During a shift, the admin can see "Location off during shift" gaps when GPS was turned off, the app was closed or no location came through.
One honest point: the selfie is a photo for a human to look at, not AI face matching. In practice that is enough. People stop sending a friend once they know their own photo is missing from the record and the manager can open it in two taps. How to roll it out without drama
The technology is the easy part. The real work is how you introduce it. Staff who have been marking attendance on trust for years can feel accused. A few things help:
- Explain the "why" in one meeting. Say it plainly: salaries should be correct for everyone, and honest workers should not lose out because someone else is cutting corners. Most of your team will agree with that.
- Be clear about what is tracked and when. In HaaziriPro, location is recorded only while the employee is checked in. Nothing is tracked after check-out or on off days. Say this out loud. It removes most of the fear. Our guide on tracking field staff honestly goes deeper on this.
- Set the geofence radius sensibly. GPS on cheap phones is not perfect, especially inside big sheds. Start with a slightly larger radius and tighten it once you see how accurate the check-ins are.
- Run both systems for one or two weeks. Keep the old register for a short period and compare. It builds trust and catches setup mistakes.
- Give people a fair way to fix genuine mistakes. Phones die and networks drop. Employees can raise a Regularize request with a photo, and the manager approves it. When people know there is a fair route, they do not look for a dishonest one.
- Help with phone settings on day one. On the Android app, location permission should be set to "Allow all the time" so tracking can continue during the shift. If it is not, the admin sees a "Background permission: OFF" badge, so you know whom to help.
What not to do
- Do not use it to catch people out in public. If a flag appears, talk to the person privately first. A "Location off" gap can be a dead battery.
- Do not treat every flag as proof. Flags are signals for a conversation, not automatic punishment.
- Do not track outside work hours. Choose a tool that stops at check-out. Watching people on Sundays destroys trust fast.
- Do not keep the old shortcuts alive. If the supervisor still accepts "I'll mark it tomorrow" on WhatsApp, the new system becomes optional within a month.
- Do not make it complicated. One selfie at check-in, one at check-out. Full Day, Half Day or Absent is then worked out from hours, based on the thresholds you set. If you are unsure how to set those rules, see half day vs full day attendance rules.
A simple way to start
Pick one site, pin it on the map, add five or ten people and run it for a week. You will know very quickly whether proxy attendance was happening, and your honest staff will have a record that protects them too. Haziri Pro has a 14-day free trial with no card needed: start your free trial, or open the live demo admin panel (password Demo@2026) and see the flags for yourself.
